Word, Excel and PowerPoint with a local AI: what works and what does not

Anyone used to ChatGPT or Claude asks for a document and receives a file ready to download. Can an AI installed in the company do the same? Yes, with good results on text and numbers and more modest ones on graphic design. Here is the situation, with nothing glossed over.

In short: a local AI creates and edits Word, Excel, PowerPoint and PDF files directly from the chat, without going through other programs. It does well with text documents, tables, calculations and charts, especially when starting from a company template. It is weaker on graphic design: presentations come out tidy but plain, and complex layouts need rechecking. For non-confidential work where the visual result matters, it is worth keeping a cloud service as well.

How does a local AI create a file?

It writes it with a small program, which it runs on the company's machine. When you ask "prepare a quote for me in Word", the model does not draw the page: it writes the instructions for building the document, runs them in an isolated workspace and gives you back the file with a button to download it.

In Open WebUI, the most widely used chat interface for local AI, this workspace is called Open Terminal. It is a separate component, installed alongside the chat, and it already contains the tools for Office formats and PDFs. Everything happens on site: neither the request nor the file leaves the company.

Tip: always ask for the format. If you just write "make me a document", the AI tends to reply with text in the chat. "Make me a Word file" or "export to Excel" removes any doubt.

What does it do well?

Everything that is made up mainly of text and numbers. These are also the most frequent tasks in the office:

  • Complete Word documents: quotes, minutes, reports, procedures, letters. The best result comes from starting with a company template, with the letterhead and styles already set up.
  • Excel spreadsheets: tables, formulas, summaries, period-on-period comparisons, charts. The AI really does run the calculations on the file; it doesn't just read its text.
  • Final PDFs ready to send.
  • Changes to existing files: correcting and rewriting text, updating data and tables, translating a document while keeping its structure.
  • Technical and product documentation: analysing, reorganising and reworking data sheets and manuals is among the things local models do best.

The file can come from a written request, from other documents or from the company data the AI has available, as we explain in the guide on local AI and company documents.

What needs double-checking, and where is it limited?

The visual design. This is where the difference from the largest cloud services is felt most, and it is better to know that beforehand.

TaskResultNote
Creating a Word document from a company templateGoodThe best case
Editing text and tables in an existing Word documentGoodComplex layouts need double-checking
Excel with formulas, analysis and chartsGoodOn very large files you need to tell it where to look
Creating a PowerPoint presentationFairTidy but simple design
Changing text and data in an existing PowerPointGoodThe layout is preserved
Redesigning the look of a presentationLimitedBetter a cloud service or a graphic designer

Three more practical limits:

  • Documents with lots of images, columns and text boxes may come out with elements shifted after an edit. They should always be reopened and looked over.
  • Timings: a complex file takes more steps and a few tens of seconds longer than a reply in the chat.
  • The checking remains human: the figures, dates and names in a document that leaves the company are reread, as you would with the work of a colleague who has just joined.

Is everything done from the same chat?

Yes. There is no switching by hand from one program to another: in the same conversation the AI can look up a piece of information in the company documents, do the calculations and produce the file.

A typical example: "take the sales data for the last quarter, compare it with last year and prepare an Excel file for me with the summary and a Word page of commentary". These are three different jobs, but a single request.

For recurring tasks it is worth preparing dedicated assistants, for example "Quotes" or "Meeting minutes", each with its own instructions and its own document template. Those who use them do not have to explain every time how they want the result.

When is it still worth using ChatGPT or Claude?

When the work is not confidential and the visual result matters a great deal: a presentation for an event, marketing material, a document that needs careful layout.

There are two routes. You can keep a subscription to a cloud service alongside the local AI, or connect it to the same interface and pay for it as you go, choosing each time when to use it. The rule is simple: what is confidential stays local, the rest goes wherever it is done best.

It is not a defeat for local AI, it is a sensible use of the two tools. The full comparison is in AI on-premise or cloud.

How we set it up in our projects

During installation, which we carry out on site, throughout Italy, we configure file creation and test it on the company's real documents: the quote templates, the spreadsheets used every week, the recurring presentations. In the training we show how to ask for a file and how to recognise the cases in which the result needs reviewing.

The details are on the Local AI for businesses page. If you would like a trial on one of your own documents, write to us.

About the author: Dabryx

Dabryx is an Italian software house that installs local AI in companies, on site across Italy, on servers or Macs. The basic installation starts at €2,900, hardware not included, and consulting at €100 per hour. The office is in Rocca Priora, near Rome.

We also install local AI in Rome, Milan, Parma and Reggio Emilia, and we develop custom management systems and custom software.

Frequently asked questions

Can a local AI create a Word or Excel file?

Yes. From the chat it can create and edit Word documents, Excel sheets, PowerPoint presentations and PDFs, returning the file for download. Everything takes place on the company's machine.

Are the PowerPoint presentations as good-looking as ChatGPT's?

No, not yet. They come out tidy and correct in content, but with a simple design. For important, non-confidential presentations it is better to use a cloud service or have a person polish the slides.

Can it edit a document I already have?

Yes for text, tables and data, keeping the structure of the file. Complex layouts, with many images or columns, need double-checking after the change.

Are paid programs needed to create the files?

No. The tools that build Office files and PDFs are open source and run locally. To open and polish the documents you use the programs the company already has.
