WhatsApp and local AI: what can really be done

In many companies part of the agreements with customers and suppliers goes through WhatsApp: confirmed prices, measurements, photos, delivery dates. This is valuable information that is hard to find again. It can be made readable by the local AI, but it is the connection with the most constraints, and it is worth knowing them beforehand.

In short: there are two routes. With the free one, you yourself export the chats that matter every so often: the AI reads the exported files like any other document. With the automatic one, new messages arrive by themselves, but only by going through the official channel for businesses (WhatsApp Business Platform) via a provider authorised by Meta, which usually charges a monthly fee. In both cases the AI only reads: it does not reply to customers on your behalf.

Can the local AI read chats with customers?

Yes, but not by getting into WhatsApp: it reads what comes out of WhatsApp in a legitimate way. The app does not offer external programs direct access to the conversations, so there are two clean routes.

How does the free route work?

You use the "Export chat" function that WhatsApp already has. On the phone you open the conversation, choose to export it (with or without photos and attachments) and save the file in the folder connected to the AI. From then on it is a document like any other: the AI reads it, indexes it and cites it when needed.

A few things to know:

  • You export one chat at a time. There is no need to export them all: the ones with your important customers and suppliers are enough.
  • Without attachments the file is light and contains only the text, with the date, time and name of the sender. With attachments, photos and documents come too, but the export covers fewer messages.
  • When re-exporting the same chat it is best to replace the previous file, so the AI doesn't read the same conversation twice.
  • Set yourself a regular schedule: for example at month end, or when a negotiation closes.

It is a manual route, but for many companies it is enough: the useful thing is not having the latest message from ten minutes ago, it is finding what was said back in March.

And the automatic route?

It goes through the official channel that Meta makes available to businesses, and can be activated only through an authorised provider. Meta allows you to connect to this channel a number you already use with the WhatsApp Business app, while continuing to use the app on your phone as before. From that point on, new messages are also delivered to the connected system, which saves them on the company's computer where the AI reads them.

Meta's documentation is clear about the constraints:

  • You need the WhatsApp Business app, in a recent version. It can't be done with ordinary WhatsApp.
  • It can only be activated through a partner authorised by Meta: a company cannot do it on its own. It is the partner that charges the fee.
  • The history covers at most the last six months of chats with individual contacts. For the period before that, manual export remains.
  • Group chats are not synced.
  • Some features of the app are switched off in chats with individual contacts: disappearing messages, view-once messages, live location. Broadcast lists can no longer be used.
  • Linked devices are unlinked on activation and have to be linked again.

The limits to know about before deciding

  • With the automatic route, messages pass through the systems of Meta and the provider before reaching your computer. The processing by the AI stays on site, but the journey does not: if total confidentiality is the reason you chose a local AI, manual export is the more consistent route.
  • The AI does not reply to customers. The connection is read-only. It can prepare a draft for you in the AI chat, which you copy and send yourself.
  • Voice notes and photos yield less than text. A price spoken in a voice message or handwritten in a photo is harder to find again.
  • Chats contain other people's personal data. Before putting them in an archive, you need to decide who can consult them and update the company's privacy notice.
  • Meta decides the rules. The requirements, features and prices of the official channel change: a connection that depends on third parties has to be reviewed when they change.

Please note: there are unofficial programs that read WhatsApp by imitating a phone or a browser. We advise against them: they are not authorised by WhatsApp and they put the company's number at risk.

And other messaging apps?

The same principle applies: the AI reads what the app lets out. Where a conversation export exists, that is used. Where it does not, often you can only work on the files received, which the app saves on the computer and which enter the archive by themselves, while important conversations are added by hand, by copying the text or saving a screenshot.

It is not elegant, but it is honest: no supplier can promise a connection that the maker of the app does not allow.

What we recommend

To start with the free route, almost always. In the first few months you find out how often the AI is actually asked about the chats, and only then does it make sense to weigh up the fee for the automatic connection. During installation, on site at the client's premises and throughout Italy, we set up the connected folder and show people how to export a chat in a minute.

You will find how this connection fits into the rest of the project on the Local AI for businesses page. If you use WhatsApp for work and want to understand which route is right for you, write to us.

Frequently asked questions

Can a local AI read WhatsApp chats?

Yes, in two ways: by reading the chats you export by hand from the phone, or by automatically receiving new messages through Meta's official channel for businesses, activated by an authorised provider. In both cases read-only.

Does connecting WhatsApp to the local AI have a cost?

The route with manually exported chats has no third-party costs. The automatic connection requires a provider authorised by Meta, which usually charges a monthly fee.

Can the local AI reply to customers on WhatsApp?

No. The connection is read-only: the AI consults the conversations to find information and, on request, prepares a draft that you send yourself.

Does it work with ordinary WhatsApp too, not Business?

Manual export, yes, works with any account. The automatic connection, on the other hand, requires a number used with the WhatsApp Business app.
